Choose a small number of email windows that still meet the real response expectations of your work and personal life. Close or hide the inbox between those windows and disable nonessential email alerts. Keep a separate urgent channel for issues that genuinely cannot wait. Do not treat three checks per day as a universal rule; that was the experimental condition, not an optimized schedule.

Email can be useful and still behave like a slot in your attention. In a two-week within-person field experiment, 124 adults spent one week limiting email checking and another week checking without restriction. Daily stress was lower during the limited-checking week. The direct causal result was about stress; broader wellbeing and productivity outcomes were linked to stress in secondary analyses and should not be promoted as if the experiment proved them. Brali therefore turns the finding into a narrow work-system experiment: reduce unnecessary inbox switching while preserving the response speed your role actually needs.

1. Start with response expectations

Before changing anything, ask what genuinely needs a fast reply. A support queue, incident mailbox, executive assistant role, or customer escalation can have real response requirements. Ordinary project email often has more room. If nobody has defined expectations, that ambiguity is part of the problem and may be worth clarifying with the people you work with.

2. Choose windows that fit the job

Pick a few points in the day when you will deliberately process email. Close the mailbox between them instead of leaving it visible as an open loop. The study used a three-times-a-day instruction, but participants did not perfectly follow that number and the research does not establish an optimum. The principle is less frequent checking than your normal pattern, within practical constraints.

3. Give urgent work a better channel

If something truly cannot wait until the next email window, use a channel designed for urgency: a call, an incident tool, a selected-contact notification, or another explicit route. This makes the system easier to trust. Otherwise every email starts pretending it might be an emergency.

4. Do not turn the experiment into inbox housekeeping

The question is not whether the unread badge reaches zero. It is whether the inbox stops interrupting unrelated work so often. A perfect folder system can become another form of email occupation. Process what matters, close the surface, and return to the task that was supposed to receive your attention.

5. Review stress and operational cost

After a bounded trial, compare ordinary days. Did you feel less tension around email? Did focused work become easier to protect? Did colleagues wait too long? Did you simply reopen the inbox manually? The original study was exploratory, relied partly on self-reported checking frequency, and did not include a passive no-change control. Treat the result as a useful experiment, not as proof that everyone should live by an inbox schedule.

Questions to consider

Should I check email exactly three times a day?

No. Participants were asked to limit checking to three times a day during the limited condition, but their reported behavior averaged more than three checks. The experiment supports checking less frequently than usual in that setting; it does not establish three as an optimal number.

Will this make me more productive?

The reviewed study gives direct causal evidence for lower stress, not a reliable productivity increase. Productivity and other wellbeing measures were related to stress in secondary analyses, but those links were not the same kind of causal evidence.

What if my job requires fast email replies?

Then strict windows may be a poor fit. Use a shorter interval, exempt a critical mailbox, agree response expectations with colleagues, or keep the current system. A protocol that breaks the job is not an improvement.

Is this the same as Inbox Zero?

No. The intervention is about checking frequency, not achieving an empty inbox. You can use deliberate windows with a messy inbox, and you can have Inbox Zero while still interrupting yourself every five minutes.
