Meeting notes often fail in the boring gap between conversation and ownership. AI can help close that gap, but it is very capable of making an unassigned action look pleasantly assigned.
1. Use an approved record
Start with notes or a transcript you are permitted to process. Remove unnecessary sensitive information before sharing it with any external tool.
2. Ask for a fixed schema
Request decisions, action, owner, due date, evidence from the notes, and open questions. A fixed schema makes omissions and unsupported fields easier to spot.
3. Reconcile commitments
Check names, dates, decisions, and obligations against the original record. If ownership was not explicit, write “unassigned” rather than accepting an AI guess.
4. Publish the checked record
Send or store the reconciled version while the meeting is still fresh enough for people to correct it. The human-approved record becomes the source of truth, not the transcript summary.

What is the main failure mode?
The model can infer an owner, deadline, or decision that sounded plausible but was never agreed. Those fields deserve explicit reconciliation.
Can I upload any meeting transcript?
No. Follow your organization's privacy, confidentiality, retention, and approved-tool rules. Sensitive content should not be sent to an unapproved service.
